Unokaso ("we," "our," or "us"), operated by Vaultera Labs, provides a legal case management platform for legal professionals. We respect your privacy and are committed to protecting the personal data you entrust to us — including the confidential information your clients place with your firm. This Privacy Policy explains what we collect, how we use it, and the rights and choices you have.
1. Who This Policy Applies To
This policy covers visitors to our website and registered users of the Unokaso platform, including legal professionals and firm staff. It also explains our role when case-related information about other individuals (such as your clients) is stored on the platform at your direction. In that situation, we process that information on behalf of your firm, and this policy describes how we handle it.
2. Information We Collect
- Account information. Name, email address, law firm name, role, and practice area provided during registration or early-access requests.
- Case and client information. Case records, client details, documents, notes, deadlines, and billing entries that you and your firm create or upload.
- Billing information. Subscription plan, billing contact details, and payment records. Payment card numbers are handled by our payment processors and are not stored on our servers.
- Communications. Messages you send to our support or sales teams.
- Usage information. Device and browser characteristics, pages visited, and interactions with the platform, collected through cookies and similar technologies (see our Cookie Policy).
3. How We Use Information
We use the information we collect to:
- Provide, operate, maintain, and secure the Unokaso platform;
- Create and manage your account and authenticate access;
- Process subscriptions, invoices, and payments;
- Respond to support requests and communicate service updates;
- Improve the platform, analyze usage trends, and develop new features;
- Send marketing communications you have requested or consented to;
- Comply with legal obligations and enforce our agreements.
4. Our Grounds for Processing
Where the law requires us to identify a basis for processing, we rely on: your consent (for example, marketing emails or optional analytics cookies); performance of our contract with you (providing the platform and support); compliance with legal obligations; and our legitimate interests in operating, securing, and improving our services.
5. Confidentiality of Case Data
We understand that materials stored on Unokaso may be subject to professional secrecy and attorney–client privilege. We treat all case data as strictly confidential, do not use it to train machine-learning models, do not sell it, and only access it to provide support at your request, to resolve technical issues, or where required by law.
6. How We Share Information
We do not sell personal data. We share information only with:
- Service providers (processors) that help us operate the platform, such as cloud hosting providers, email delivery providers (currently Plunk), payment processors, and analytics providers (Google Analytics);
- Professional advisers under confidentiality obligations;
- Authorities, only where compelled by applicable law or necessary to protect rights, property, or safety; and
- A successor entity in connection with a merger or acquisition, under this policy.
7. International Transfers
Our service providers may process data in countries other than your own. When that happens, we rely on contractual safeguards and work with providers that offer protections substantially similar to those required by applicable data protection laws.
8. Data Security
We apply industry-standard safeguards, including encryption of data in transit (TLS) and at rest, role-based access controls, least-privilege internal access, and monitoring. No system is perfectly secure, but we design our practices so that a breach would be contained as quickly as possible.
9. Data Breach Response
If a personal data breach affecting your information occurs, we will investigate promptly, take steps to contain and remediate it, notify affected users and any regulator where required by applicable law, and describe the measures taken in clear, plain language.
10. Data Retention
We keep account and case data for as long as your subscription is active. After termination, case data remains exportable and retrievable by you for a grace period of 90 days, after which it is deleted from active systems within a reasonable timeframe. Backup copies are purged on rolling cycles. We retain minimal records (for example, invoices) as long as required by tax and accounting rules, and analytics data only in aggregated form.
11. Your Rights and Choices
You have the right to:
- Be informed about how your data is used (this policy);
- Access the personal data we hold about you;
- Correct inaccurate or incomplete data;
- Delete your data, subject to legal retention requirements;
- Object to or restrict certain processing, including direct marketing;
- Data portability — receive your data in a usable, exportable format;
- Withdraw consent at any time where processing is based on consent; and
- Lodge a complaint with your local data protection authority if you believe your rights were violated.

We will verify your identity before acting on a request and respond within the timelines required by applicable law. If the Data Privacy Act of 2012 (Philippines) applies to you, you may also raise concerns with the National Privacy Commission.
12. Children's Data
Unokaso is intended for legal professionals and is not directed to individuals under 18. We do not knowingly collect personal data directly from minors. Client case files may contain information about minors entrusted to your firm, which we handle under this policy.
13. Cookies and Similar Technologies
We use cookies and local storage to operate the site, remember preferences, and understand traffic. Details, including how to change your cookie choices, are in ourCookie Policy.
14. Changes to This Policy
We may update this policy to reflect changes in our practices or legal requirements. When we make material changes, we will notify registered users by email or through the platform and update the "Last updated" date above.
